Role summary:

The Clinic is looking for an energetic, personable and highly organised indvidual who has led administrative, front-of-house, and non-clinical operations in an aesthetic, healthcare, or hospitality setting. Crucially, we are looking for an individual who has the ambition and drive to grow with the company. The right candidate will be a confident decision maker whose choices will be critical to the in-clinic experience of our patients.

 

Your primary responsibility will be to assist in the running of the Clinic on a day-to-day basis, ensuring the smooth delivery of the highest levels of patient experience for each of the ~150 patients who visit our clinic every day, six days a week. 

 

 You will report to the Head of Operations and be part of a 12 person Management Team.

 

 The right candidate will take a high volume of work directly off the Head of Operations.

 

Summary of responsibilities

 

Delivering optimal patient experience for the Clinic’s ~ 150 daily patients Delivery of optimal consultant experience for the Clinic’s ~ 6-8 consultants Manage front-of-house / reception/ healthcare assistant – clinical staff Oversee bookings/room allocation / outpatient diaries/ space utilisation Buildings and facilities management Complaints management  IT and Phone systems delivery Out of Hours liaison leader   In addition: Location: The Cadogan Clinic, 120 Sloane Street London SW1X 9BW (close to Sloane Square, South Kensington, Knightsbridge, and Victoria stations)

 

Salary: £40,000-£45,000 per annum (full time annual salary; depending on experience and skills).

 

Contract Type: Permanent, full time, 40 hours

 

Shift Days: Monday – Friday ( Saturday as required)

Role Requirements/ Skills & Experience – Clinic Manager Essential Skills Required  

 

  • Extremely personable and strong relationship builder.

We are a people-orientated business, from building solid foundations with your team to the 90+ doctors that practice at the clinic, communication, interpersonal skills, and a strong rapport are essential.

 

  • Strong leadership

You will have 9 direct reports made up of 4 front-of-house staff and 5 healthcare assistants who combined make the outpatient team, a team responsible for the in-house experience of our patients and doctors. You will be tasked with ensuring seamless day-to-day coordination of activity across 6 consulting rooms and 2 minor procedure rooms, in conjunction with the Theatre Manager who oversees 3 operating theatres.

 

  • Energetic, ‘can-do’ attitude

The clinic is a fast-paced environment seeing 150 patients a day from 8am to 8pm, as the Clinic Manager you will wear many hats and be the go-to person for all things clinic related. While your role will mainly be back office, you will be patient facing throughout the day in an open plan area.

 

  • Decisive and adaptable

No two days are the same, you will be required to troubleshoot, make autonomous quick decisions for you and your team, and future-proof internal processes’.

 

  • High attention to detail

You will be responsible for ensuring compliance throughout the clinic, working with the governance manager to ensure your direct and indirect reports and the clinic facilities are compliant with internal policies and cqc standards.

 

  • Work well under pressure

You take on high-level responsibilities such as managing the clinic diaries to ensure the time is utilised to full capacity and work with the Sales Manager to ensure continual growth.

 

Strong team player

 

You will work alongside a senior management team of 12, including the second-generation founding Directors, and have 9 direct reports, alongside indirect reports totalling over 40 employees.

 

  • Well-organised with ability to meet strict deadlines

Working independently, you will set your own working hours based on the support requirements of your team, business needs, and your own deliverables.

 

  • Strong people management

You will lead, motivate, mentor, and drive a high-performing team. Retention and staff development are key within this role, many staff have progressed internal starting within the outpatient team and developing into other roles.

 

  • Complaints Handling experience

Full ownership of all patient feedback, informal and formal concerns, and complaints are reviewed and audited by external bodies. This will require delicate and confident handling of patient concerns, proactive investigation and reflective learnings to be shared with members of the management team.
